Policy on Research Proposals and Beamtimes for the period between Oct. 2020 and Feb. 2021

In order to minimize the effects of beamtime cancellations due to COVID-19, the following policies will be introduced for research proposals and beamtimes for the period between Oct. 2020 and Feb. 2021.

1, Recommendation for Project Leaders with Overseas Affiliations with an Approved Research Proposal
 Considering the restrictions which are in place on entry to Japan from overseas as of the end of September 2020, we ask that you make efforts to secure research collaborators currently residing in Japan who would be able to conduct the proposed experiments (including setup) at SPring-8 even in your absence.
 If you cannot find such collaborators 40 days before the scheduled start of your experiment, your beamtime will be cancelled and allocated to the waitlist (see below).

2, Selection of Waitlisted Proposals
 From the list of research proposals which were rejected for the 2020A additional call, a waitlist will be made based on the results of the scientific, technical and safety reviews. Project leaders whose research proposals have been selected for the waitlist will be notified by email in early October.
 When beamtime cancellations arise, a proposal from the waitlist will be selected. Selection will be made primarily on scientific merit, but factors such as requested bunch modes and numbers of shifts will be also be taken into consideration. The project leader of the selected proposal will be contacted no later than 30 days before the scheduled start of the experiment.
 Industrial Application Beamline, this policy will be applied from Fourth Call for 2020A Proposals. Please note that waitlisted proposals will not be selected for Industrial Application Beamlines, the Macromolecular Crystallography Beamlines (PX-BLs), BL35XU, and RIKEN beamlines.

 Beamtimes allocated for the period between Oct. 2020 and Feb. 2021 which are cancelled, even for reasons related to the COVID-19 pandemic, cannot be postponed to the period after April 2021. Please consider submitting a new proposal for the 2021A term, the deadline for which is expected to be early December 2020.
 Above policies will not be applied to beamtimes allocated at Contract Beamlines. Please contact the relevant Contract Beamline Office if necessary.
